Job Description

Key Responsibilities:

 

  • Provide a high level of administrative assistance to the business and assist team members in implementing projects and activities;
  • Support team members by providing administrative support, including;
    • Inbound and outbound calls to clients;
    • Photocopying and printing;
    • Organising equipment;
    • Managing the mail;
    • Managing EST inbox;
    • Filing and document management
  • Prepare agendas and take accurate minutes of meetings when required;
  • Coordinate meetings for the business unit including, creating Zoom/Microsoft team for virtual meetings, booking of meeting rooms, organization of catering, and preparation of meeting materials;
  • Maintain accurate and efficient information storage and filing systems for the team;
  • Liaise with internal and external stakeholders in a prompt, courteous and effective manner, ensuring a high level of customer service is provided;
  • Assist the EST program by:
    • Outbound calls to participants to commence within the first 3 days of EST;
    • Managing various databases such as online attendance, current activities, EST Sharepoint etc.
    • Contacting participants (via phone, emails and SMS) to attend training and following up non- attendance;
    • Advising/sending attendance reports to providers;
    • Assisting in scheduling and preparation of resources;
    • Assist in carrying out inductions for trainers;
    • Prepare and manage the distribution of resources;
    • Assist in the scheduling of trainers;
    • Generating EST reports

Competencies

 

  • Proficiency in the use of Microsoft Office products, in particular Word, Excel, PowerPoint and Outlook, with accurate word processing and data entry skills;
  • Experience working with PowerBI Reporting program;
  • Sound knowledge of administrative systems and procedures, and proficiency with office technology;
  • Highly developed written communications skills with the ability to maintain strong attention to detail and take pride in the quality of work produced;
  • Effective verbal communication and interpersonal skills, with the ability to liaise with people at all levels in an informative, accurate and positive manner;
  • Ability to prioritise, organise and complete work within established deadlines, and to maintain a consistent level of professionalism;
  • An ability to work effectively within a busy team environment, and also to work unsupervised;
  • Strong client focus and genuine desire to assist team members;
  • A proactive approach to resolving queries and problems;
  • A can-do attitude, flexible and mature approach to work tasks, and a willingness to learn.

Qualifications

  • Previous experience in a similar role;
  • Experience working in a professional environment;
  • Certificate in business/office administration (highly regarded)
